How to Import Bank Statements into Fortnox (Step-by-Step)
If you use Fortnox for your Swedish business accounting, you know that bank reconciliation (bankavstamning) is one of the most time-consuming tasks. Manually entering every transaction from your bank statement PDF is tedious and error-prone. This guide shows you how to convert your PDF kontoutdrag to CSV and import it directly into Fortnox -- saving hours of manual work.
Why Import Bank Statements into Fortnox?
- Save 2-3 hours per month: Stop typing transactions manually. A typical monthly statement with 50-100 transactions takes hours to enter by hand.
- Eliminate data entry errors: Automated import removes manual-typing errors, and every row is reconciled against the statement's own printed balances.
- Faster month-end close: Import and reconcile in minutes instead of days. Your revisor (auditor) will thank you.
- Works with any Swedish bank: Handelsbanken, SEB, Nordea, Swedbank, Lansforsakringar, Danske Bank -- all converted to the same CSV in Fortnox format.
The Problem: Fortnox Does Not Read PDF Statements
Fortnox supports importing bank transactions from CSV files, but most Swedish banks only provide statements as PDF files (kontoutdrag). Some banks offer CSV export through online banking, but these exports often lack critical information or use formats that Fortnox cannot parse correctly.
This creates a gap: you have your data in PDF format, but Fortnox needs it in CSV. That is exactly the problem our converter solves.
Step-by-Step: PDF to Fortnox in 5 Minutes
Download your bank statement PDF
Log into your bank's online banking (internetbanken). Navigate to your business account, select the period you want to reconcile, and download the kontoutdrag as a PDF file. You can also use statements received by post or email.
Convert PDF to CSV with Bank Statement Sheet
Go to our converter page and upload your PDF. Our system automatically detects your bank format and extracts all transactions. Review the preview to verify dates, descriptions, and amounts are correct. Then click Download CSV.
Open Fortnox's account reconciliation view
According to Fortnox's support documentation (Manuell hantering av betalfiler), manual file handling happens in the Stam av konto (account reconciliation) view. Open it and select the bank account you want to reconcile. (Fortnox's Bokforing fran kontoutdrag is a separate automation feature that requires an active bank connection.)
Add the CSV file
Per the same Fortnox support article, you add a file manually by dragging and dropping it into the reconciliation view. Use the CSV you downloaded from our converter — a Fortnox-style CSV with date, description, and amount columns. Note: Fortnox's reconciliation import expects a bank-specific file layout, so depending on your bank and setup you may need to adapt the file — we don't claim a guaranteed one-click import.
Match and reconcile
Fortnox will attempt to auto-match imported transactions with existing bookkeeping entries (verifikationer). Review the matches, manually match any unmatched items, and complete the reconciliation. Done!
Which Banks Work with This Method?
Our converter supports all major Swedish banks with dedicated parsers optimized for each bank's specific PDF format:
Handelsbanken
Dedicated parser, every row reconciled against printed balances (742 of 742 balance checks on a real 743-transaction statement)
Nordea
Swedish and Nordic formats, multi-currency support
SEB
Including reference numbers and OCR payments
Swedbank
Including Swish and Autogiro transactions
Lansforsakringar
All 23 regional companies supported
Danske Bank
Danish and Swedish formats, MobilePay support
For banks not in this list, our generic parser handles most standard PDF statement formats. The converter auto-detects your bank, so you do not need to select it manually.
Tips for Fortnox Users
Bank feeds or PDF conversion?
If your client's bank is connected to Fortnox and the feed was active for the whole period, Fortnox's own bank feeds are the right tool — use them. PDF conversion covers what a feed structurally cannot: the months before the connection was activated, banks without a Fortnox connection, foreign banks, and new-client onboarding where all you have is statement PDFs.
Handle multiple months at once
If you are catching up on bookkeeping, you can convert several months of statements individually and import them into Fortnox one by one. Our Pro plan supports up to 100 pages per day, which is enough for a full year of statements from most banks. If you handle client statements at an accounting firm, see our page for redovisningsbyraer.
Use CSV for Fortnox, Excel for analysis
Download CSV for importing into Fortnox, and Excel for your own analysis. The Excel export includes additional formatting like headers, column widths, and the running balance column that makes it easy to verify totals.
Verify before importing
Always check the preview before downloading. Look for:
- Correct number of transactions (compare with your bank statement page count)
- First and last dates match the statement period
- Amounts look reasonable (no missing decimals or wrong signs)
- The running balance in the last row matches your bank's closing balance
CSV Import vs. Manual Entry: Time Comparison
| Task | Manual Entry | PDF to CSV Import |
|---|---|---|
| Enter 50 transactions | 45-60 min | 2 min |
| Verify for errors | 15-30 min | 1 min |
| Reconcile in Fortnox | 15-20 min | 5 min |
| Total per month | 1.5-2 hours | 8 minutes |
